Equipping an accounting firm with the right IT

Bookkeeping, tax and social security filings, scanned receipts: an accounting firm lives on its computers, and deadlines leave no room for breakdowns. Here is how to equip the firm to save time and never lose a file.

Dual monitors: the best investment

One screen for the scanned document, one for the accounting software: staff enter data faster and make fewer mistakes. Two 24-inch monitors per desk is a modest cost for an immediate productivity gain.

Simple but fast computers

  • a recent office PC with an SSD and 16 GB of RAM for accounting software and large Excel files;
  • a keyboard with a numeric keypad;
  • business laptops for staff who visit clients.

A fast scanner, not just a printer

A document scanner with an automatic feeder and duplex scanning digitises a stack of invoices in seconds. For printing, a networked laser multifunction is enough, or a copier for high volumes.

Centralise and protect client files

  • a server or NAS so the whole team works on the same files and software: see server for a small business;
  • access rights per employee;
  • automatic daily backups with an off-site copy, as ransomware during filing season would be a disaster;
  • professional antivirus and a UPS.

Plan ahead for peak periods

Have computers checked and cleaned before the major tax deadlines, not during them. A maintenance contract with priority response avoids losing a day when a machine fails at the worst moment.
